Booking module

From enquiry to invoice

Your customers enquire on your own booking page. You turn it into a quote, a contract and an invoice – all in the Hub, with your inventory, your Stripe account and your bookkeeping.

What's included

Booking page

Your customers enquire online: package, date, extras, contact details – on a page in your design.

  • your own booking page at your-name.boothdock.cloud or boothdock.cloud/buchen/your-name, plus a widget for your website and a link preview when you share it
  • welcome page before the package choice with your logo, a large heading, your company description and a button to the packages
  • seven ready-made designs: Clear, Elegant black & gold, Party, Romance, Minimal, Nature and Night & neon – with your accent colour and a title image behind the heading; the design also applies in the customer portal
  • page builder with blocks: heading, text, image (your own upload), checklist, button, notice, contact, image carousel (swipeable, autoplay can be switched off), image gallery with full-size view, columns, video from YouTube or Vimeo (loads only after a click, privacy-friendly), spacer or divider, questions & answers – plus up to 8 subpages with a menu
  • your own wording: adjust every text on the booking page yourself, per language
  • duration in hours (e.g. 4 hours included, up to 12 hours with a price per extra hour, end time calculated automatically) or in days (multi-day packages, price per extra day)
  • promotional prices, for example for the first bookings or until a set date, and blocked periods for holidays
  • travel cost estimate: the customer enters the location and sees a non-binding price range – the distance comes from OpenStreetMap, only the location is sent
  • fixed travel cost zones in addition to the estimate (e.g. free up to 15 km, €25 up to 30 km): the customer sees the fixed price right on the booking page
  • location choice: if a place name exists more than once, the customer picks it from a list; in the address fields the municipalities for the postcode appear to click on, for 26 EU countries (postcode data: GeoNames, CC BY 4.0)
  • instant booking per package: the customer books and pays right on the booking page – the quote with the matching travel zone is created automatically, and signing and payment happen in the customer portal via Stripe
  • address optional or required, your company name instead of the account name
  • your own fields on the booking page (e.g. contact person on site, access): text, choice or checkbox, as a required field and in every language – the answers appear in the booking and in the contract
  • contact section on the booking page: visitors write to you without requesting a date; the message arrives by email and is saved as a note in your customer list

Quote and contract

Quotes from the enquiry or written from scratch, contract with online signature.

  • quotes from an enquiry or from scratch without one, with subject, introduction and closing text from your default texts, text lines and a discount per line item or on the whole document
  • item catalogue for recurring line items, copy a quote, preview before sending; the event date can still be open
  • travel costs with a price per km, included km and outward and return trip: you enter the distance, the calculator does the rest
  • customer portal without an account: the customer checks the quote and books bindingly
  • withdraw a quote, cancel a booking (documents stay, the date becomes free, open payments and instalments stop) or delete test bookings completely
  • contract with online signature that fills itself with the customer's details: name, company, address, phone, email, dates from–to, time, location, package, extras, total, deposit and security deposit
  • the customer chooses private person or business on the booking page – the contract ticks it automatically, along with the booked package
  • customer replies go to your business email from your billing details
  • PDF in A4 or US Letter with your logo in the letterhead and your details in the footer

Payment and security deposit

Customers pay through your own Stripe account, with no commission for BoothDock.

  • online payment through your own Stripe account: the money goes straight to you, BoothDock takes no commission; bank transfer always works
  • payment plans: deposit and balance, instalments, monthly instalments from booking (even past the event) or “14 days net”, with your own plan templates per package; if you like, your customer chooses at checkout: pay by plan or everything at once – the customer portal then shows both the deposit and the total amount
  • optionally collect instalments automatically from the saved payment method
  • security deposit per package or extra, shown next to the price and not counted as revenue; optionally paid online with the first payment via Stripe and refunded there too
  • security deposit as a card hold if you like: the card is saved at checkout, 2 days before the event the deposit is held on it, not charged – afterwards you release it or capture part of it
  • security deposit status: open, received, retained or refunded – with your own note below it, for example about a condition report

Invoices and bookkeeping

Invoices are created from payments automatically – as e-invoices.

  • deposit and final invoices automatically, free invoices without a booking, invoice date of your choice
  • e-invoices (ZUGFeRD to EN 16931), automatically also as XRechnung for German public authorities
  • GiroCode on the invoice: the customer scans it with their banking app, with recipient, IBAN, amount and reference already filled in
  • payment reminders, dunning notices and cancellation invoices
  • connection to Lexware Office and sevDesk, DATEV export for your tax adviser

Customers and planning

Customers, inventory, calendar and team in one place.

  • customer records with customer number, address, contact person and payment terms, plus leads, notes and follow-ups
  • packages and extras linked to your inventory (booths, printers, backdrops), so nothing gets double-booked; for multi-day bookings the calendar blocks every day
  • accepted bookings create the event in the Hub automatically
  • staff with their own permissions and responsibilities
  • 24 languages and 14 currencies
